Job Summary: To provide excellent customer service and administrative operational support, answer all incoming phone lines, complete all support functions for Management and to carry out all duties assigned in a high volume fast paced environment. Duties: * Answer phones and operate a switchboard * Route calls to specific people * Answer inquiries about properties * Greet visitors warmly and make sure they are comfortable * Call persons waiting for visitor * Ensure reception area is tidy * Coordinate mail flow in and out of office * Send email and faxes * Collect and distribute parcels and other mail * Perform basic filing and clerical duties * Assist brokers with client communications * Assist with conducting research to support the selling efforts of assigned brokers * Create and broadcast HTML emails for property and broker marketing * Word processing for correspondence, agreements and reports * Copying/scanning/faxing * Pull and label aerials (Google Earth Pro) * Picking up and delivering daily mail, overnight mail, FedX preparation, courier arrangements, preparing packages for mailing use discretion in selecting the most cost-effective but timely service * Communicate with copier vendors and internal IT to ensure copiers functionality * Take initiative to offer assistance to others whenever possible * Monitor and submit office and kitchen supply orders * Willing to become a Notary-company will cover expenses
