About the Prosperity Center Coordinator Position in Moncks Corner, SC Position Summary: Under the direction of the Prosperity Centers Manager, this position is responsible for coordinating administrative and customer service functions of the Berkeley Prosperity Center and its partners. More specifically, this position is responsible for front desk operations, data entry, maintaining a centralized calendar and compiling/generating tracking reports. The position provides administrative support to the Prosperity Centers Manager, as well as some administrative support to the partners in the Dorchester Prosperity Center and maintains a highly organized and accurate electronic and hard copy filing system. Essential Functions & Responsibilities: I. Coordinate Front Desk Operations: Answer phones, address customer requests and concerns and make referrals internally and by phone Provide overview of information about mission, vision and core services Ensure customer completion of in-take form and signed information/legal releases (CharityTracker and general in-take form) Collate and disseminate Prosperity Center information packets (partner brochures, class schedules, general information) Connect Center partners to customers with appointment setting Exercise proper protocol for difficult situations Ensure every customer signs-in and includes reason for visit Generate a customer file for new customers (electronic and/or paper) II. Coordinate Data Entry Use Center tracking and software systems to enter customer and partner data Enter all customers, with signed releases, into CharityTracker and other tracking systems and spreadsheets daily Enter class completion information on participants in partner education sessions/classes and scan and upload appropriate documentation (pre- and post- tests, evaluations, etc.) into tracking systems Maintain weekly Excel spreadsheet to track unique visitor count and reasons for visit weekly III. Assist in facilitation of educational class offerings and room scheduling for conference room area Maintain an updated listing of partner class offerings for the Berkeley Center Maintain participant sign-up rosters for each class offering Maintain scheduling calendar for conference room usage and classes Coordinate/assist AmeriCorps members with follow-up calls to registered participants one week prior to classes. Coordinate/assist AmeriCorps members with meeting room set-up for classes and/or meetings IV. Coordinate Reporting of Outcome Data for both Prosperity Centers Utilizing tools such as tracking forms, CharityTracker and Efforts to Outcomes, collect, compile, and maintain monthly reports from partners in both Centers to enable us to measure progress against annual goals. Assist Center Manager with creation of quarterly and annual reports of Center outputs and outcomes. V. Support Responsibilities Provide administrative and clerical support to the Prosperity Centers Manager Coordinate room set-up for staff and partner meetings Prepare agendas for staff meetings at Berkeley Center Assist Center Manager with preparing agenda for Round Table meetings at both Centers and take and distribute minutes for both Round Table meetings Record staff and partner meeting minutes at Berkeley Center and produce meeting minutes within one week of meetings Compose letters and other communication required by Prosperity Centers Manager Edit written materials as directed Manage office program supply and food orders (when appropriate) for both Centers Manage Center mailings, postage machine and copier usage at Berkeley Center Additional Responsibilities: Coordinate opening and closing of the Berkeley Center with Center partners in the absence of the Center Manager. Conduct one-on-one assessment, which includes in-take form completion as needed Use all service delivery tools including but not limited to CharityTracker, The Benefit Bank, and Social Solutions ETO as needed Promote education sessions, workshops and events utilizing CharityTracker and other tools and track interested individuals for sign-up via AmeriCorps members As directed by the Prosperity Center Manager, coordinate and/or participate with AmeriCorps members to ensure representation by the Prosperity Centers at community meetings and outreach events Determine in-house and referral resources to assist the customer Maintain a high level of customer service and professional etiquette Maintain strict customer, staff and partner confidentiality for all personal information and documentation Participate in weekly Prosperity Center staff and partner meetings Actively participate in all TUW events and activities, demonstrating the ability to be a good colleague and team builder. Perform other essential functions as directed by the Prosperity Centers Manager and Director of Financial Stability. Cross train and understand AmeriCorps member duties and perform those duties when required.
